How to use Zapier to connect Filestage to Microsoft Teams

By using Zapier, a platform that connects various apps, you can now post updates to MS Teams based on events in Filestage.

Updated over a week ago

What is Zapier?

Zapier is a platform that allows you to connect Filestage with over 5,000 other web apps, including popular tools like Trello, Slack, Asana, and Hubspot, among others. By automating connections between these apps, you can streamline your work processes, save time, and focus on what's important.

Each Zap consists of a trigger and an action. A trigger is an event in Filestage that starts the Zap, and the action is a task performed in another app. Check out our page on Zapier for all available events and triggers.

Example triggers:

  • File changes review status

  • New file is added to a project

  • New comment created

  • Due date is reached

⚠️ Please note: Before starting the process, please install Zapier in MS Teams following these instructions: https://zapier.com/blog/how-to-automate-microsoft-teams/

Connecting Filestage and Microsoft Teams using Zapier

Step 1: Create a Zapier account

To begin, visit Zapier's website and sign up for a Zapier account. The free plan offered by Zapier is suitable for this integration and provides ample features.

Step 2: Start creating a new Zap

Once you're logged in to Zapier, locate the "Create Zap" button in the top-left corner of the interface. Click on it to initiate the creation of a new Zap.

Step 3: Choose Filestage as the trigger App

In the Zapier editor, search for "Filestage" in the app search bar. Select Filestage when it appears as an option, indicating it as the trigger app for the integration.

Step 4: Select the Filestage trigger event

Next, select the trigger event that will initiate the update in Microsoft Teams. For example, you might choose "New Version Ready" to trigger an update whenever a proof is ready for review in Filestage. Follow the instructions provided by Zapier to connect your Filestage account and specify the necessary details.

Step 5: Connect Microsoft Teams as the action app

After setting up the trigger, it's time to choose Microsoft Teams as the action app. Utilize the search bar in the Zapier editor to find and select Microsoft Teams.

Step 6: Select the Microsoft Teams action event

Choose the action event that will post the update to Microsoft Teams. For instance, you can select "Send Channel Message" to post a message in a specific channel when the Filestage trigger event occurs.

Step 7: Connect your Microsoft Teams account

Follow the prompts to establish a connection between Zapier and your Microsoft Teams account. Provide the required credentials to ensure a successful connection.

Step 8: Configure the Microsoft Teams update

Once the connection is established, configure the details for the Microsoft Teams update. Customize the message content to include relevant information from the Filestage trigger event, such as the proof name, reviewer, or due date.

Step 9: Test the integration

Before proceeding further, conduct a test to make sure the integration is functioning as expected. Zapier allows you to simulate the Filestage trigger event and displays the resulting update in Microsoft Teams.

Step 10: Activate the Zap

Upon successfully testing the integration, activate the Zap. This action sets the integration in motion, ensuring that whenever the selected trigger event occurs in Filestage, Zapier will automatically send the specified update to Microsoft Teams.

🎉 Congratulations!

You've successfully integrated Filestage with Microsoft Teams using Zapier to post updates based on actions in Filestage. This integration ensures seamless communication and collaboration between your team members. Now, whenever a trigger event occurs in Filestage, such as a new version being ready for review, Zapier will automatically send a customized update to Microsoft Teams, keeping everyone informed and enabling efficient workflow management.
