How do I receive email notifications for a project?
As an Admin of your team, you have the ability to see all files and projects created by your teammates. However, you will only receive email notifications for projects where you specifically are a project collaborator. To turn on email notifications for a project, you can join the project by inviting yourself as a project collaborator.
This way, you can enjoy getting updates only on projects you truly care about and not have to worry about your inbox being overloaded with too many emails. |
Project activity email
Filestage sends you a single email notification for all new activities that occur in your projects. The notification is sent out within a selected period between 10 minutes and 8 hours. This allows you to receive all relevant updates in one email, making it easy to keep track of your projects. You can decide if you wish to receive Project activity emails.
To do so:
💡Pro-tip: Instead of disabling email notifications for project activities, we suggest extending the time frame for receiving them. This way, you can still stay up-to-date without overloading your inbox and be reminded to come back to the project. |
Activities included in project activity notifications:
✅ New files and new versions
✅ Liked comments
Activities separate in immediate email notifications:
❌ Invitations to become a project collaborator
❌ Invitations to become a reviewer to a reviewer group
❌ Mentions by other users
When are email notifications sent for project activities?
All project activities that occur within the selected time period between 10 minutes and 8 hours of the first activity are sent to you in a single email notification.
For example:
Let's say your teammate creates a comment at 10 a.m. and you have selected the time span for one hour. This means that the project activity email will be sent out 1 hour later at 11 a.m. All activities that occur between 10 a.m. and 11 a.m. will be bundled in this email notification.
If you mark a project activity as read in the notification center before the project activity email has been sent out, this update will not be listed in the project activity email. |
How to set the time span for project activity emails?
The default time period for project activity emails is 1 hour, but you can customize this time period in your account's notification settings. To do so, follow these steps:

Manage email notifications for your reviewers
📌Please note: If your reviewer has their own account, they can deactivate the project activity email in their personal notification settings. The personal setting will override the email notification setting in the reviewer group. |
Use mentions to notify others immediately
In case you want someone to get immediately informed about a new activity, you can use the mention feature. Email notifications for mentions are sent out immediately.
❗Mentions and the corresponding notifications do only work with persons that are already part of the review process (reviewers, collaborators). |
Also, the notification center shows updates in real time. You can use this feature to see updates instantly. Through the circle in the tab title and the blue badge on the bell icon, you can see if new updates are available.
